Start with a quantity, not a guess.
For 500 square feet of finished floor, plan for roughly 8–12% extra material when the rooms have ordinary cuts and a few transitions. That means the order may be closer to 540–560 square feet. A straight rectangular room wastes less than several small rooms, a corridor, or a space with many doorways.
The useful question is not “What is the price per square foot?” It is “Which parts of the 500-square-foot scope are included in the price?” Record the product, underlay or adhesive, preparation, installation, trim, protection, disposal, taxes, and any allowance separately.
The 500-square-foot worksheet
- Product: identify plank or sheet vinyl, wear layer, colour, pattern direction, and approved supplier.
- Waste: add a documented percentage instead of hiding extra material in a rounded total.
- Removal: note existing flooring, adhesive, baseboards, tack strips, and disposal requirements.
- Preparation: check levelling, patching, moisture, squeaks, transitions, and substrate repairs.
- Installation: clarify click-lock, glue-down, sheet seams, furniture handling, and room sequencing.
- Finishing: include transitions, quarter-round or baseboard work, caulking, touch-ups, and cleanup.
What changes the total?
Material grade is only one cost driver. An empty, clean, level unit with a simple layout is faster than an occupied condo with elevator bookings, furniture protection, restricted work hours, or an uneven substrate. Removing glued flooring can take longer than installing the replacement. Existing baseboards may be reusable, damaged, or unsuitable for the new floor height. Door undercuts and transitions also need to be checked before installation.
For planning, separate three numbers: the known base scope, allowances for selections or uncertain preparation, and owner-requested options. A quote that combines all three into one low-looking total is harder to compare. A quote with a clear preparation allowance can be more honest even when the initial total is higher.
How to request a priceable quote
Send the address or property type, a sketch or room list, approximate measurements, photos of the existing floor, occupancy and access details, desired product, baseboard preference, and target timing. Ask the contractor to confirm the measured quantity after a walkthrough and to identify what happens if hidden substrate damage is found.
