Inspect before assigning the deadline.
A target move-in date is only useful after the unit condition, required approvals, material lead times, and trade sequence are understood.

Walk every room with a consistent checklist. Record flooring, walls, ceilings, doors, trim, cabinets, counters, fixtures, plumbing, electrical devices, ventilation, windows, appliances, moisture evidence, damage, cleaning, and safety concerns. Use dated photographs and distinguish tenant damage, normal wear, required repair, capital improvement, and optional upgrade according to the owner’s process and applicable rules.
Build one approved scope
Group the work by room and trade, then identify finish standards and owner-supplied items. Write inclusions, exclusions, allowances, substitutions, access conditions, disposal, cleaning, deficiency review, and closeout expectations. A clear baseline prevents leasing, maintenance, ownership, and construction teams from working from different lists.
Resolve permit questions before scheduling
The City of Guelph states that building permits are generally required for most renovation and construction projects and identifies interior projects such as kitchen or bathroom renovations, basement finishing, wall changes, new or enlarged openings, structural alterations, additional dwelling units, plumbing changes, and changes of use for review. The exact requirement depends on the actual project.
Confirm who prepares drawings, submits, answers comments, books inspections, and keeps final records. Do not cover work that requires inspection before the applicable inspection is complete.
Standardize materials without ignoring the unit
- Record approved paint colours, sheen, flooring, transitions, trim, hardware, fixtures, and alternates.
- Verify substrate, moisture, dimensions, compatibility, and availability before ordering.
- Separate reusable stock from products that need unit-specific selection.
- Confirm delivery location, storage, protection, waste route, and building access.
Sequence the handoffs
A typical order may include removals, concealed-condition review, framing and rough-ins, inspections, drywall and patching, waterproofing and tile, cabinets and counters, flooring, paint, trim, fixtures, hardware, deficiencies, cleaning, and documentation. The real sequence changes with the unit and scope.
Close the unit before marketing it as ready
Check every room against the approved scope. Test doors, drawers, hardware, plumbing fixtures, lights, fans, appliances, alarms, and visible finishes. Photograph completion, list deficiencies, confirm keys and access items, collect warranties and permit records where applicable, and obtain the authorized handoff.
